Job Description:
Summary of Position (Job Purpose) - Major purpose and functions
of the position.
Responsible for effectively managing repair costs of $40 million in
a combination of Opex General Budget and Capital Expenditures,
including developing vendor contacts, implementing contracts and
auditing invoices of service provider base
Facilities Analyst, under the supervision of Manager Vendor
Services, will manage outside Service Providers, as assigned, in
support of the Property Management Department, within the Real
Estate Division, including maintaining records and contracts,
coordinating project activities, financial forecasting/budgeting
and providing scheduling support for assigned Service Providers
Manage Facilities to include scheduling preventative maintenance,
responding to urgent maintenance calls and participating in the
creation of emergency preparedness plans for escalated
situations
Drive improving departmental performance through various expense
comparative analysis, vendor performance evaluations, process and
procedure evaluations and other new initiatives as they relate to
annual Goals and Objectives
Perform cost-benefit analysis for assigned lines of Operating
Statement to include detailed analysis of spend by Service
Provider
The Facilities Analyst will provide administrative support to the
Manager of Vendor Services and the Property Management Department,
manage functions including: Work Order coordination, database
management, daily operations, maintaining records, and providing
general support services to service providers and stores
Justify the need for capital expense increases by assisting in
managing the Capital budget; analyzing service provider costs and
reviewing completed repair work done to determine capital expense
eligibility
Serve as first point of contact for internal and external customers
seeking support and information from Property Management for
assigned service providers and programs
Principal Duties and Responsibilities - Primary responsibilities
listed in order of importance
Focuses on managing repair costs to budget constraints. Actions to
be taken include participating in the bidding and negotiating of
contracts, prepare and analyze data to assess service provider
compliance both financially and contractually, auditing Officetrax,
Property Management's web based system of record, to ensure that
all warranties/service levels in place and making decisions on
expenditures based on lease parameters
Monitors vendors' performance to ensure they are meeting their
contractual obligations and complying with department policy and
service agreements
Financial forecasting/budgeting of vendors within assigned
portfolio
Develop comprehensive weekly, monthly and quarterly reporting
packages
Handle building-equipment and service emergencies on an ongoing
basis and serve as a liaison between company associates and outside
Service Providers called to resolve problems
Prepare vendor scorecards to measure vendor performance and analyze
vendor trends and drive process improvements
Technically competent, with excellent problem solving, analytical,
and managerial skills
Work is varied organization, time management and the ability to
handle a complex workload is required
Ensures that excellent customer service is given to our stores.
This includes reviewing Officetrax to verify that store issues are
handled in a timely manner and monitoring work orders in the
Officetrax system for compliance to policy and procedures
Complete other analysis, reporting, projects and duties as assigned
by the Property Management team
Minimum Requirements/Qualifications - Summary of knowledge,
experience and education required.
Must possess Bachelor's Degree from an accredit College or
University or commensurate experience in the field of real estate
facilities management or accounting
Excellent communication skills both written and spoken
Ability to organize, prioritize and manage a complex workload in
order to meet tight deadlines in a fast-paced and ever-changing
environment
Ability to work cross-functionally and maintain effective
relationships with other departments
Excellent organization skills
Proficiency in MS Excel, MS Word, Internet applications and overall
computer experience and competency
Ability to demonstrate, in group or individual project work,
extensive problem solving and analytical strengths
Excellent customer service skills
Typing skills of 40 - 50wpm
Knowledge of accounting principles
Desired Qualifications - Desired but not required.
Previous experience with Officetrax
Knowledge of Tableau analytics
Knowledge of IBM Planning & Analytics Budgeting and Reporting
software or similar reporting software
